Registration fees for the virtual FIE 2020

 

The on-line participant fees help the conference pay for the electronic platform used to make presentations and provide live question/answer sessions. We thank you for your interest in attending our conference and for your support through your on-line registration fee.

Update September 10, 2020:

IEEE has just revised the policy for registrations for virtual conferences. In order to be compliant with these new directives, the FIE conference must revise its advertised registration fees to those required by the IEEE policy. A critical change is the simplification of the registration fees to eliminate differentiated fees (no Advance or Late fees), and the introduction of a very attractive virtual participation without paper category.

We apologise for the confusion that this causes, but the conference must comply with the latest IEEE directives. Already registered participants will be contacted by Academic Conferences.

The registration fee includes access to all plenary and parallel sessions of the virtual conference. In order for a paper to be published, at least one of the authors must pay the full registration fee and attend the virtual conference to present the paper. Each registration can present up to 4 papers. The fee must be paid in full prior to the conference.

Member fees are offered to all members of IEEE and ASEE. A valid membership number has to be provided in your registration. For more informaation on how to become a member, please see the tab ‘Memberships’ below.

Exchange rates may vary. To see current exchange rates, please ask your bank, or visit a web based currency converter, for example oanda.com, x-rates.com, or your choice of bank or converter service.

* According to the EU legislation and regulation for conferences and events (C-647/17, EU:C:2019:195, of 13 March 2019 and Article 53 of Council Directive 2006/112/EC of 28 November 2016) VAT is paid in the country where services are rendered, e.g. the country in which the conference is being organized.

Depending on the location of your organisation/company, VAT may be (partially) reclaimed from your home country. Please contact your local authority for more information.

 

Payment must be made in advance of the conference.

Swedish delegates can choose to pay either by credit card or by invoice.

Employees of the Swedish University of Agricultural Sciences (SLU)
SLU- employees should choose option “Internal invoice for SLU employees” under payment option. Please have your Proceedo reference (3 digits and 3 letters) ready.

Delegates from outside Sweden

  • All payments must be made in SEK (Swedish krona)
  • Payment should be made by credit card or by bank transfer.
  • Upon choice of payment method ”International bank transfer” on the registration form, you will receive an invoice including bank transfer information such as bank account, IBAN, etc. Confirmation letter and invoice will be sent by e-mail.
  • Please note that we accept the following credit cards: VISA and Master Card. We will not accept any bank charge deductions.
  • Deadline to register with payment option invoice/international bank transfer is 15 September 2020.

Notification of cancellation must be made in writing and sent to Academic Conferences, the conference secretariat, at FIE2020@akademikonferens.se
Cancellation of registration will be accepted until 30 September, 2020, up to which date the total amount will be refunded except for a cancellation fee of SEK 750.
We regret that no refunds or reductions of fees will be accepted for cancellations made after 30 September, 2020.

 

 

 

In order to take advantage of the member fee, you need to be member of one of the organizing societies, IEEE or ASEE. To become a member, or ask for membership conditions and prices, please contact each society directly.

 

 

Academic Conferences’ privacy policy

Academic Conferences: Karolinska Institutet (KI), SLU and Uppsala University (UU) plan and administer conferences and other events on behalf of their principals and cooperation partners. In order to do this, we must collect and process personal data. The purpose of this policy is to explain the data we collect and how we use it, as well as your rights as a data subject.

Data controller

The Swedish University of Agricultural Sciences (SLU) is the data controller for the processing of your personal data. It is also the data processor for KI and UU when they arrange conferences. 

Legal basis

The GDPR (General Data Protection Regulation) dictates that all processing of personal data must have a legal basis. The legal bases relevant to SLU Academic Conferences are the execution of agreements, tasks of public interest, consent and fulfilling legal obligations. SLU Academic Conferences considers the processing of your personal data necessary in order to manage registrations and plan your participation in conferences/events. The legal bases that apply to various types of processing are described below.

Purpose

We process and store data that you have personally given us when you apply to our conferences and events.

The data is used in order for us to fulfil our commitment to you, administer your registration, plan your participation, payment, changes and cancellations as well as provide you with good service in general.

The personal data can also be used for information sent to you regarding upcoming conferences and events you might be interested in.

Your personal data may also be used to establish, exercise or defend legal claims.

Categories of personal data and sources

Conference and event registrations

Purpose: Administrate conference/event participation, manage activity/ seminar participation, order meals, purchase travel transportation for keynote speakers and moderators, reserve accommodation for keynote speakers and moderators, manage fees/ travel reimbursements/ payments/ refunds for keynote speakers and moderators, publication and distribution of a participant list containing name, organization name and country of the participants, statistics and further information on upcoming conferences and events.

Types of data: Name, personal identity number, gender, position, email, address, mobile phone number, phone number, activity selection, bank account information, any allergies and specific requests or circumstances. Data you have submitted in your registration.

Legal basis: Execution of agreements concerning planning and implementation of conferences/events, or consent.

Participation survey and client survey

Purpose: Receive feedback from participants, improve our services and develop upcoming conferences and events.

Types of data: Name, mobile phone number, IP address, your answers.

Legal basis: Consent.

Program, abstract and E-poster

Purpose: Collect accepted oral and poster abstracts and final papers, create program & abstract book and share them through the conference app, conference website and/or conference digital platforms.

Types of data: Name, organization name, abstract/final paper/E-poster contents.

Legal basis: Consent.

Recording of plenary session, technical session and workshop

Purpose: Record the plenary sessions, technical sessions and workshops, as well as to save chat histories, held through digital platforms, post this recording through websites and social media channels.

Types of data: Name, profession title, organization name, presentation slides, video recording and chat logs.

Legal basis: Consent.

Disclosure

SLU Academic Conferences may disclose your personal data to anyone who requests a public document that includes your data, in accordance with the regulations on public documents, unless they are subject to non-disclosure.

Transfer of personal data

SLU Academic Conferences pays a lot of attention to managing your data safely. We use adequate physical, technical and administrative processes and procedures to manage the data we collect. Access to the personal data is only given to those who need them in order to carry out their duties.

However, data can also be processed by the host/client of the current conference/event as well as data processors, i.e. companies that SLU Academic Conferences cooperate with in regard to IT, payments, prints, distribution, accommodation, meals and transport. These parties may not use your personal data for any other purpose than the conference/event in question, and only to provide the services they have been hired to perform. The data we collect from you is stored in countries approved in the general data protection regulation.

Storage

Personal data is saved for as long as necessary in regard to the processing purpose. For example, data regarding dietary requests is deleted immediately after the conference has concluded. Your personal data will also be stored for as long as required by the Public Access to Information Act and the regulations on the archives of public authorities.

Your rights

You have the right, under certain circumstances, to have your personal data erased, corrected or limited. You also have the right of access to the personal data being processed, and you have the right to object to the processing of your data. To exercise your rights, contact the data protection officer at SLU. However, we cannot erase your data if the law requires that we store it, such as bookkeeping rules, or when there are other legitimate reasons to save the data, or if processing is necessary for your participation in the conference/event.

Withdrawing your consent

If SLU Academic Conference’s processing of your personal data is based on consent, you have the right to withdraw this consent.
